Privacy Policy

Last updated: 4 September 2026

This Privacy Policy explains what personal information UpHire collects when you use our recruitment and relocation platform, why we collect it, how we protect it and what choices you have.

1. Information we collect

We collect information you provide and information generated as you use the platform:

  • Account details: name, email address, phone number and password credentials.
  • Candidate profile data: work history, education, skills, languages, passport and visa status, salary expectations and preferred destination countries.
  • Documents you upload to your vault, such as resumes, certificates and identity or travel documents.
  • Employer data: company name, registration certificates, contact persons and vacancy details.
  • Application and messaging activity, including application stages and advisor chat content.
  • Payment records: plan, amount, invoice and transaction reference. Card and banking details are handled entirely by our payment gateway and never stored by UpHire.
  • Technical data: IP address, device and browser information, and usage analytics.

2. How we use your information

  • To create and operate your account and candidate or employer workspace.
  • To match you with vacancies and share your profile with employers you apply to.
  • To provide advisory, documentation and relocation support services.
  • To process membership payments, invoices and refunds.
  • To send job alerts, application updates and service notifications you have opted into.
  • To verify employers, prevent fraud and maintain security and audit logs.
  • To comply with legal, tax and regulatory obligations.

3. Sharing your information

We share your data only where necessary: with employers or their appointed representatives when you apply to a vacancy or ask us to submit your profile; with service providers who host our infrastructure, deliver email or process payments; and with authorities where disclosure is legally required. We do not sell your personal data.

4. International transfers

Because UpHire supports employment across Europe and operates offices in Singapore, the United Arab Emirates, India and Estonia, your data may be transferred and processed outside your home country. We apply contractual and technical safeguards to those transfers.

5. Data retention

We retain your profile and application records for as long as your account is active and for a reasonable period afterwards to satisfy legal, accounting and dispute-resolution requirements. You may request deletion at any time, subject to records we must keep by law.

6. Security

Access to your data is controlled by row-level database policies, encrypted transport, authenticated sessions, optional two-factor authentication and audit logging of sign-in and administrative activity. No online system can be guaranteed completely secure, so please protect your password and enable two-factor authentication where offered.

7. Your rights

  • Access a copy of the personal data we hold about you.
  • Correct inaccurate or incomplete information from your profile page.
  • Request deletion of your account and associated documents.
  • Withdraw consent for marketing or job-alert emails at any time.
  • Object to or restrict certain processing of your data.

To exercise any of these rights, contact us through the Contact page and we will respond within a reasonable period.

8. Cookies and similar technologies

We use strictly necessary cookies and local storage to keep you signed in and to remember preferences, plus limited analytics to understand how the platform is used. You can clear or block these through your browser, though some features may stop working.

9. Changes to this policy

We may update this policy as our services change. Material changes will be reflected in the "last updated" date above, and continued use of the platform constitutes acceptance of the revised policy.
